PT. Search Synergy Bali (“Search Synergy,” “we,” “us,” or “our”) is a digital marketing and software provider specializing in healthcare administration. This Privacy Policy describes how the Search Synergy CRM platform (the “Service”) collects, uses, and protects personal data in compliance with the Republic of Indonesia Law No. 27 of 2022 on Personal Data Protection (PDP Law) and the WhatsApp Business Solution Terms.
Under the PDP Law, responsibilities are divided as follows:
Data Controller: The Clinic or Healthcare Provider using our Service is the Data Controller. They are responsible for obtaining patient consent and determining the purpose of data collection.
Data Processor: Search Synergy is the Data Processor. We process personal data solely on behalf of the Clinic and according to their documented instructions to facilitate communication and administrative efficiency.
We process the following categories of data through our WhatsApp integration:
General Personal Data: Names, phone numbers, and communication metadata.
Specific Personal Data (Sensitive): Health inquiries, appointment requests, and symptoms shared by patients via WhatsApp. This data is classified as “Specific Personal Data” under Article 4 of the PDP Law and is handled with the highest security standards.
Administrative Data: Performance metrics of clinic personnel, including response times and booking conversion rates.
The Service utilizes Google Gemini AI to provide advanced administrative features. The purposes of processing include:
Staff Coaching: Analyzing chat history to provide clinic admins with real-time suggestions and grading based on Standard Operating Procedures (SOPs).
Booking Optimization: Identifying and categorizing patient inquiries to maximize healthcare bookings.
Communication Facilitation: Managing the flow of messages between Clinics and patients via the WhatsApp Business API.
AI Transparency: Our AI tools are used for administrative efficiency and coaching. We do not use identifiable patient data to train general-purpose global AI models.
In accordance with Indonesian Law and the Ministry of Communication and Informatics (KOMINFO) regulations:
Encryption: All data in transit between the Clinic, the patient, and our servers is protected by industry-standard encryption.
Data Residency: We prioritize the processing and storage of health-related data within Indonesian territory where required by law.
Access Control: Access to data within the CRM is strictly limited to authorized personnel via individual credentials.
Individuals (patients and staff) whose data is processed by our Service have the following rights under the PDP Law:
Right to Access and Portability: To receive a copy of their processed data.
Right to Correction: To rectify inaccurate or incomplete data.
Right to Erasure: To request the deletion of their personal data (see our Data Deletion Policy).
Right to Object: To object to automated decision-making or specific processing activities.
We do not sell personal data. We only share data with essential service providers, including:
Meta Platforms, Inc. (WhatsApp): To facilitate the delivery of messages through the WhatsApp Business API.
Google Cloud: To provide AI processing and secure hosting environments.
Law Enforcement: Only when mandated by a valid legal order under Indonesian jurisdiction.
We retain personal data only for as long as necessary to fulfill the purposes outlined by the Data Controller (the Clinic) or as required by the Indonesian Health Law (No. 17 of 2023) regarding medical records.
