User Data Deletion Policy for Search Synergy CRM

Effective Date: February 5, 2026

In accordance with the Indonesian Law No. 27 of 2022 on Personal Data Protection (PDP Law) and Meta’s Platform Terms, Search Synergy Bali provides a clear and transparent process for users to request the deletion of their personal data from the Search Synergy CRM.

1. Scope of Data Deletion

This policy applies to all personal data processed by Search Synergy CRM on behalf of our Clients (Clinics), including but not limited to:

• WhatsApp chat logs and communication metadata.

• Patient names and phone numbers.

• Administrative performance data and AI-generated coaching logs.

2. How to Request Data Deletion

If you are a patient or a clinic staff member and wish to have your data removed from our systems, you may initiate a request through any of the following channels:

• Email Request: Send an email to info@search-synergy.com with the subject line “Data Deletion Request.” Please include the phone number or account details associated with the data.

• WhatsApp Request: Contact our official support line at +62 823-4019-0659 and state your intent to delete your data.

• Clinic Request: If you are a patient, you may also request deletion directly through the Clinic (the Data Controller), who will then instruct us to purge the records.

3. Deletion via Facebook/Meta Settings

For users who have interacted with our services via Meta platforms, you can also remove our app access manually:

1. Log in to your Facebook profile.

2. Go to Settings & Privacy > Settings.

3. Navigate to Apps and Websites.

4. Find Search Synergy CRM and click Remove.

4. Processing Time and Verification

• Verification: To protect your privacy, we may require you to verify your identity (e.g., via OTP to the registered phone number) before processing the deletion.

• Timeline: We will acknowledge your request within 72 hours. Full deletion of personal identifiers from our active databases will be completed within 30 days.

5. Data Retention Requirements

Please note that certain data may be retained even after a deletion request if:

• It is required for compliance with the Indonesian Health Law (No. 17 of 2023) regarding medical record retention.

• It is necessary for legal, audit, or tax purposes under Indonesian jurisdiction.

• The data has been fully anonymized such that it can no longer be used to identify a specific individual.
